Vacation & Safety
Heading out of town for winter break? If your unit will be empty for more than 7 days, please review the following vacation and safety requirements before leaving.
Some items are required Mallard Properties policies, while others are strongly recommended to help protect your home during school breaks and colder weather. In your absence, if our team becomes aware of an emergency at your property, we will respond as needed and contact you as soon as possible.
#1: Submit a Vacation Notice
If everyone in your household will be away at the same time, for a full 7 days or longer, a Vacation Notice form is required.
- Only one form per household is needed
- Submit the form online before leaving town
This helps our team respond faster if emergencies or maintenance issues occur while the property is vacant.
#2: Keep Heat Set to 60°F
To help prevent frozen pipes and water damage during Eugene winters:
- Keep your thermostat set to at least 60°F
- Open cabinets under sinks so warm air can circulate
Residents are responsible for damage caused by frozen or burst pipes.
#3: Rent Is Still Due During Breaks
Rent remains due during vacation periods and school breaks.
Helpful reminders:
- We can accept up to 2 months of rent in advance
- Payments must be cashable (no post-dated checks)
- Rent must be received by 11:59 pm on the 4th to avoid a $75 late fee
Payments can be:
- Submitted online through the Tenant Portal
- Mailed or delivered to our office at: 1953 Garden Ave, Eugene, Oregon 97403
#4: Secure Your Home
Before leaving:
- Lock all windows and doors
- Double-check deadbolts
- Put valuables out of sight
- Secure bikes and electronics
- Leave a light on or use a timer
A home that looks occupied is less likely to attract break-ins.
#5: Ask Someone to Check In
If possible, ask a friend or neighbor to occasionally check on your unit while you’re away.
You should also:
- Pause mail delivery
- Hold packages
- Stop any scheduled deliveries
